Main Purpose of Job Provide hand-on support for the Business Unit (BU) on day to day work flow in regards to orders and sales processing. Insure that all orders are received, processed and all inquiries from BU, customers and customer service are answered in timely manner. Provide daily reports on sales and invoicing.
Job Duties / Responsibilities Processing orders and communicating them to the relevant business Distribution Center(s) ,after validation of the sales supervisor or sales manager (products, prices, inco term, payment term, instructions) Tracking orders and updating “Order Tracking” spreadsheets, and to share the Sales Forecast sheet on daily basiswith the respective business Following up with distribution to ensure complete order processing/invoicing/shipment: request the finance release of the orders that are validated by the sales supervisor or sales manager. Follow-up on orders processing and ensure that invoices are received and forwarded to the countries. Daily update of the forecast and the invoiced orders, back orders, etc. and compare Sales reports generated daily( GSR, SAP, BO Reports) Alert the business on any back orders (BO) issue, and for the respective sales supervisor / Business manager Work closely with the Customer Service Department to follow-up on back orders Know the accurate amount of orders to be invoiced and the value of items on back order Assist the Sales managers/supervisors in the preparation & submission of Quotations and Tenders, and provide them with the necessary documents, brochures, certificates, etc. Maintaining accurate databases such as price lists, payment requests list, product materials listing, registrations listing (TUV, certificates), etc. Follow-up on product complaints in a timely manner Ensure replacement orders are received, and prepare excel to include all returns, replacement order and relevant credit note issued Managing service and repairs logistics and related communication processes Work closely with regulatory to ensure compliance. Take the lead during products recall, field actions, etc. Attend the weekly calls with Customer Service Update the month end report every last Friday of the month Follow-up on licenses expiry and request renewal 6 months prior to the expiry, along with sales supervisor Must Haves Bachelor degree 5 years’ experience in a similar position Fluent in English; verbal and written communication skills Excellent command of Microsoft Office applications; advanced Excel, PowerPoint, data analysis and presentation skills; experience in using pivot tables, graphs, surveys and ability to write clear and concise reports Experience in SAP order management Skills & Competencies Knowledge Applies intermediate knowledge of practices and procedures focused in one job family or broad knowledge across a job function.
